Who we are
Pear EM is run by Pear Management Systems Inc. Questions about this notice go to privacy@pear-ms.com. Post: Pear Management Systems Inc., 8 The Green, Suite B, Dover, DE 19901, USA. Questions from the EU or the UK may also go to privacy@pear-ms.com.
Your organisation's records
Pear EM is used by organisations for their safety work. The records your organisation puts in belong to your organisation. Your organisation decides what is recorded. Pear holds and processes those records for your organisation and does not use one customer's data for another's benefit.
What we collect
- Your account: your name, work email and role. There are no fields for home address or next of kin.
- Signing in: a one-time sign-in link sent by email, valid for 15 minutes, and the session that keeps you signed in.
- What you record: drills, attendance, inspections, findings, equipment checks, muster check-offs, photos and PDF documents, and a history of every change, with names.
- Health data: some modules can hold a fitness-to-work outcome, an "Injured" mark at a muster, or casualty notes. Please record fitness-to-work labels only, never a diagnosis, and keep health details out of free-text notes.
Location and device data is removed from every photo when it is saved.
Why
We use this data to sign you in, to run the service for your organisation, and to show each record's history. We do not train or tune any AI model on customer data. For the records your organisation puts in, we act on its instructions, and the legal basis is your organisation's. For your own account, we rely on our legitimate interest in providing and securing the service your organisation chose.
Where it is stored and who helps us
All records and files are stored in the United States. These companies process data for us:
- Google Cloud: runs the app, stores files, PDFs and backups (Northern Virginia).
- Turso, on Amazon Web Services: the database (Northern Virginia).
- Cloudflare: network edge; sees request details such as IP address, stores nothing.
- Resend: sends sign-in emails.
- Anthropic: the reference question assistant. If you use it, your question and selected records of your organisation are sent to write an answer. Anthropic's terms say it may not train on this content.
If you are in the EU or the UK, your data is transferred to the United States under the EU standard contractual clauses in your organisation's data processing agreement with us, and under our suppliers' own data processing terms.
How long we keep it
Records are kept for the life of your organisation's agreement. The change history cannot be edited or deleted. Backups are deleted after 30 days.
A copy or deletion
Your organisation can ask us for an export of its records, or for deletion at the end of its agreement. Deletion is done on written instruction, unless a legal hold is in place. You can ask for a copy, a correction or deletion of your own data by writing to privacy@pear-ms.com. A request about your organisation's records goes to your organisation, which decides. We answer a request about your own account within one month.
Security
Each organisation sees only its own records. Data is held in private storage, and every change is recorded.
Cookies
We use only the cookies needed to keep you signed in and to protect the sign-in. We use no analytics or advertising cookies.

We will update this notice when how we handle data changes, and show the new date here.
